What is the Work Planning Tool?

The FacilityONE Work Planning Tool can be used to preview a facility’s upcoming PM workload, as well as to manually generate PM work orders before their scheduled date.

Pre-Set Work Planning Queries

 This tool is essentially a specialized Query, in that it is accessed via pre-set options in Account Administration or by creating a custom Query focused on Work Planning.

While custom Work Planning Queries can be accessed in UNITY, the manual PM generation option on any Work Planning Query will only be accessible in Account Administration.

  1. In the Account Administration main menu, there is a section labeled Plan, under which some Work Planning pre-sets are available

  1. The Today pre-set will display any PM work orders that are expected for the current day.

  1. The Next 7 Days pre-set will display any PM work orders that are expected within the current week (beginning from the current day).

  1. The Next 30 Days pre-set will display any PM work orders that are expected within the next 30 days, beginning from the current day.

  1. After opening any of the pre-sets, the Apply button must be clicked for the results to generate.
  2. Additionally, since the pre-sets are just system-default saved Queries, Filters and Options can be added to define and organize the results.

    2. If any adjustments are made to the pre-set and the Save button is clicked, it will be saved as a separate Query and the pre-set will revert to its default settings.

Manual PM Generation

  1. To generate PM work orders ahead of their scheduled date, open a Work Planning Query (either a pre-set or a custom creation) in Account Administration
    1. Remember to hit Apply to generate the results
    2. If desired, Filters can be added for Assigned Employee, Equipment, Schedule, etc. to further define the results

  2.   Check the results for the PM work order(s) that need to be manually generated
    1. If the Work Orders Created? Column says Yes, the PM has already generated
    2. If the Work Orders Created? Column says No, the PM has not yet generated

  1. Check the box to the left of each item that needs to be manually generated.

  1. Once all desired selections have been made on the current page of results, click the Create button at the top right of the results.

  1. A pop-up prompt will ask for confirmation before creating the PM work order(s) for the selected entry
    1. Manual creation cannot be reversed, so after clicking Yes, the creation is final
    2. To cancel manual creation, click No

  1. A notification will appear to alert that the PM(s) were successfully created
    1. Click OK to close the notification

Manual PM Generation: Case Example

Scenario: The date of a PM inspection was changed by the vendor, but the PM Schedule was not updated in FacilityONE, so the PM work order is not available in the system when the vendor arrives for the inspection.

Solution:

  1. Update the Start Date on the appropriate PM Schedule to tomorrow’s date.
    1. PMs auto-generate at 00:00 on the Start Date, so 00:00 has most likely passed for the current date, which is why the solution recommends setting the Schedule to tomorrow's date.

  2. Go to a Work Planning Query (either a pre-set or a custom) and locate the result for the PM that needs to be manually generated.
  3. Follow the Manual PM Generation process detailed in the previous section.
  4. After Step 3, the PM should now be available and, if desired, the PM Start Date can be readjusted to the next date the PM should auto-generate.

Create a Custom Work Planning Query

  1. Click Find [New] or Report [New] depending on the type of Query that needs to be created.

  2. On the New Find/Report template, select Work Planning Entries as the Show value

  3. Add any desired Filters and Options based on the desired Query output, then click Save

4. The Query will now be available in both Account Administration and UNITY


5. Manual PM generation functionality is not yet available in UNITY, but Work Planning Queries can still be used to preview upcoming work.

Create a Custom Work Planning Query: Case Example

Scenario: Management wants to know how many PM work orders will generate each month in the current year. They also want to know the expected man hours required for those PMs.

Solution: Create a new Report Query with the below settings.
