Some of the Query functions described here are permission-based, though most should be available to all users. Additionally, some of these functions may be unavailable to a user because the Query was created by another user and shared to them.
Advanced Options in Account Administration
In Account Administration, all users will have access to the Schedule button on a Query, whereas the ability to share a Query via the Save menu will be permission-based and generally restricted to Admin personnel.
Setting up an Email Schedule
- The current user can set up an emailing schedule on a Query to have the results emailed to them on a regular basis via the Schedule button
- Users can only set up an emailing schedule for themselves and cannot set one up on behalf of another user
- The below image shows the location of the Schedule button on a Shared Query for a user with limited Query permissions
- When clicked, the Schedule button will open a menu where existing email Schedules can be accessed/edited, as well a button for +Add Schedule, which is used to create a new Schedule
- The Add Schedule menu first asks for the Schedule to be given a Name, which can be anything that makes sense to the user creating the Schedule
- Next, choose a Start Date/Time (the first date the results need to be emailed) and the Interval on which the results need to be regularly emailed
- In the below example, the results will be emailed to the user every Monday at 9 AM
- An End Date/Time can be set, if the results only need to be emailed for a certain period of time
- Finally, choose the Format of the email attachment that will contain the results of the Query
- Click Ok to create the Schedule, or Cancel to discard
- After clicking Ok, the Schedule will appear in the Save Schedules window, where the Save button must be clicked to finalize the Schedule creation

- At any time, the user can return to this Query and edit or delete the Schedule
Sharing a Query
- For users with Query Admin permissions, the Save button will allow them to share a Query to other users in their organization
- In the Save menu, they can choose to share the Query to all users in a specific Role
- It can also be saved to specific Users by name
- Once the desired Share options have been set, click Save to finalize the Share, or Cancel to discard
- Shared Queries are denoted by a group icon, as seen below
Advanced Options in UNITY
Regardless of role or Query-related permissions, all users should have access to the Auto and Manual refresh buttons on a Query in UNITY.
Manual Refresh
- To manually refresh a Query in UNITY, place the Query in Table View as detailed in section 4.1, then click the refresh button indicated below
Auto Refresh
- To set a Query to refresh automatically, place the Query in Table view as detailed in section 4.1, then click the clock button indicated below
- The icon will become shaded in grey, and will slowly return to white as the 15-minute refresh mark approaches
- The auto-refresh can be disabled by clicking this icon again
- If the user logs out of FacilityONE before the refresh mark is reached, the auto-refresh will re-set
