This guide demonstrates how to use the FacilityONE Notification Editor to set up an employee’s phone or pager as a “Notification Device” in order to receive text notifications about work orders.
Create a Notification Device
The Notification Editor tool is currently located in the Account Administration side of the program and is only available to Admin-level users.
- To begin, click the Notification Editor option in the Edit section of the Account Administration main menu
- This will open the Notification Editor, which will by default open to the New Notification Device set-up
- Fill out the Basic Info section of the Notification Device
- Enter a name for the device in the Device Name field
- The recommended naming when setting up a phone/pager for a specific employee would “J. Doe Cell”
- The recommended naming for a shared pager/phone would be “1st Shift Pager”
- Add the full 10-digit phone/pager number in the Pager/Cell Number field
- Select the carrier or provider in the Carrier field
- If the necessary carrier is not listed, please refer to the Notification Carrier Configure section in this guide
- Select the name of the employee to whom this phone/pager belongs in the Assigned Employee field
- If this is a shared phone or pager, select the Roaming Notification Device option
- Enter a name for the device in the Device Name field
- Once the Basic Info is set, select Device Events based on the work order actions about which the employee needs to receive notifications
- The available Device Events will change depending on if the Notification Device is assigned to a specific employee or if it is a Roaming Notification Device
- For questions about any of the Device Events, please contact support@facilityone.com
- A Message Template can be selected on the Notification Device to customize the information that comes through on a work order notification
- Message Templates are created using the Notification Device Template tool, which is covered in a later section in this guide
- Select No Template to use the default work order notification style
- Next, click the Location tab to set the device’s location
- Click the magnifying glass icon to select the facility at which this employee works
- Click the name of the desired facility to select it as this Device’s location
- Best practice here is to set this location to match the employee’s location
- If needed, multiple locations can be selected by simply repeating this process
- Once these selections have been made, click Save to finish creating the Notification Device
- After the device has been created, stay on the Notification Editor page to continue the device set-up by verifying the pager/cell number.
Verifying the Notification Device
In order for the FacilityONE system to send text notifications to the set pager/cell number, it must be verified per the below process.
- To verify the pager/cell number, click the Send Verification Text button on the Notification Device
- After clicking this button, a text containing a verification code will be sent to that number
- Once the verification text arrives, enter the code in the text into the Verification Code field on the Notification Device then click Verify to complete the process
- When the verification is complete, the system will begin sending text notifications to that number based on the chosen Device Events
Edit an Existing Notification Device
Changes can be made to any information on a Notification Device via the Notification Editor. Devices can also be disabled as a way to temporarily stop notifications from sending, or be removed entirely.
- To access an existing Notification Device, open the Notification Editor
- Click in the drop-down above the blue Notification Device form to view a list of all existing Notification Devices, then select the one that requires editing
- To update the information in any of the fields on the selected Device, follow the same process as when creating a new Notification Device
- To disable the Device to temporarily halt text notifications from sending to that pager/cell, uncheck the Enabled? box at the top of the form
- To permanently delete the selected Notification Device, click the Delete Notification Device button at the bottom of the form
