Can I create Notification Templates?

If desired, templates can be created and associated to Notification Devices in order to customize what information appears in the text alert, as well as how that information displays.

Notification Templates

 

  • To set up a Template, click the Notification Device Template tool at the bottom of the Account Administration main menu


  • This will open up a New Template form

  • First, name the template by typing in the Name field
    • There are no rules around naming Templates, so just make the name something that will be easy to identify


  • Next, choose the fields of information that should be available in the message body of the text alerts
    • All fields will be selected in the Chosen Fields column by default
    • To remove a field from the Chosen Fields column, select it and click the <<Remove button to move them into the Available Fields column
  • To move a field back into the Chosen Fields column, select it and click the Add>> button
  • To clear all Chosen Fields, click the Clear button
  • To rearrange the positioning of the fields in the Chosen Fields column, select a field and click the up or down arrows found to the right of the column to put the field in the desired position

  • To reduce the number of characters in the message body, the Label of a field in the Chosen Fields column can be updated to a shortened term
    • In the example below, the Label for the Description field has been shortened from “Description” to “Desc”
    • Click the Update button to change the Label

  • The Message Subject and Message From fields on the text notification can also be modified as desired
    • Changing either option will give a preview of the new appearance below the selection


  • To include a hyperlink to the work order the notification is in regards to, check the Add hyper link to summary option
  • To ensure lengthy notifications are sent in parts if the pager/cell carrier has limits on the number of characters per message, check the Break up message based on carrier limitations option
    • If desired, a Test Message can be sent to a pager/cell to preview how the notification will come through with the settings on the selected template
      • Choose the carrier of the pager/cell to which the test message will be sent in the Select Carrier field
      • Enter the number of the pager/cell to which the test message will be sent in the Enter a number field
      • Click Send to send the test message


      • In order to preview how the notification will come through without sending a test message, refer to the Summary Message Example section at the bottom of the template
        • Text notifications regarding Work Order Edits and Inquiries can also be customized on the template by clicking the corresponding tab and following the instructions above
          • When satisfied with the set-up of the template, click the Save button at the bottom of the form
            • To make changes to a saved Notification Template, click the drop-down menu to select the desired template, then follow the instructions above to make changes
